Updating an Invoice Template

When you update an invoice template, you must upload the new file and test it on a test account to confirm the changes. Follow the steps below to safely replace and validate a template.


Steps for Invoice Profiles

  1. Navigate to Invoice Profiles. Go to Configuration > Customer > Invoice Profiles from the side menu.
  2. Open the Profile. Click the pencil icon next to the invoice profile you want to edit.
  3. Download the Current Template.
    • Click the underlined .rpt file to download the existing template.
    • Keep this file as a backup in case you need to revert.
  4. Remove the Old Template. Click Remove to delete the existing template from the profile.
  5. Upload the New Template.
    • Click Upload and select your new .rpt file.
    • You may need to set the file browser to show all file types to locate the file.
  6. Save Changes. Click Save in the top-left corner.
  7. Verify Upload. Reopen the profile to confirm the correct template is attached.

Testing the Template

  1. Go to a Test Account. Use the test account (i.e., Account 10001).
  2. Verify Invoice Profile Assignment. From the Customer tab, confirm the correct invoice profile (with the new template) is assigned to the customer.
  3. Copy the Latest Invoice ID. In the Invoices tab, copy the most recent Invoice ID.
  4. Purge the Invoice PDF.
    • Go to Administration > Record Purge > Invoice PDFs.
    • Confirm you are in the Invoice PDFs purge screen (not another purge type) to avoid unbilling.
    • Enter the Invoice ID and select Purge.
  5. Wait for Regeneration. Within 15 minutes, a new PDF will generate under the purged invoice on the customer’s account.
  6. Review the New Template. Open the regenerated PDF and confirm formatting and content are correct.

Notes

  • Always keep a local copy of the previous invoice template for rollback if needed.
